Privacy Policy

Rentaura (“Rentaura,” “we,” “us”) operates the Rentaura website at rentaura.ai and the Rentaura iOS application (together, the “Service”). This Privacy Policy explains what information we collect, how we use and share it, and the rights you have over it. Rentaura is based in Vancouver, British Columbia, Canada. By using the Service you agree to this policy.

1. Information we collect

We collect only the information needed to match you with rental listings and to broker introductions to landlords on your behalf.

Information you provide directly

  • Account: email address and password (managed by our authentication provider).
  • Profile: name, phone number (optional), age range, employment status, employer name, employment duration, annual income range, household size, pets, lease length preference, monthly budget range, and personal references you choose to add.
  • Search criteria: bedrooms, bathrooms, neighbourhoods, amenities, and other preferences you specify.
  • Application content: move-in date, personal message to a landlord, references, and any other content you submit when applying to a listing.
  • Communications: messages you send or receive with landlords through Rentaura.

Information collected automatically

  • Device tokens: when you enable push notifications, we store the Apple Push Notification service (APNs) token issued to your device so we can deliver new-match and reply alerts.
  • Usage data: matches generated for you, listings you swipe on, applications you submit, and the time of those actions.
  • Technical data: standard server logs (IP address, user agent, timestamp) for security and abuse prevention. We do not use third-party advertising trackers or analytics scripts that fingerprint you.

Information we do not collect

We do not collect: precise location, contacts, photos, microphone or camera data, health or financial data beyond the income range you self-report, advertising identifiers, or any data from outside the Service.

2. How we use your information

  • To generate personalised matches from rental listings we scan daily.
  • To produce a rental application PDF on your behalf and email it to landlords for listings you choose to apply to.
  • To route landlord replies back into the app so you can correspond inside Rentaura.
  • To send you account-related emails (sign-in, password reset) and the daily match digest you opted into.
  • To send push notifications about new matches, landlord replies, or roommate-group activity, if you enabled them.
  • To detect and prevent abuse, fraud, and security incidents on the Service.
  • To improve the Service — for example, by analysing aggregate match performance to refine our scoring model.

3. How your information is shared

We do not sell your personal information. We share information only as follows:

  • Landlords (when you choose to apply): when you apply to a listing through Rentaura, we email the landlord on your behalf with your application PDF and a return-routed reply address. The PDF contains the profile and application details you provided. We do not send your account email or phone number to landlords by default for applications submitted via the iOS app — replies route back to you through Rentaura. You may end this routing by deleting the match.
  • Roommate group members: if you join or form a roommate group, the other members of that group can see your profile name, employment, income range, occupants, and pets so they can evaluate the group fit. They can also see applications the group submits jointly.
  • Service providers (sub-processors): we use third-party infrastructure to run the Service. They process information only on our behalf and only as needed to provide their service:
    • Supabase — database, authentication, and file storage (PDF applications).
    • Resend — outbound email delivery and inbound email receiving for landlord replies.
    • Vercel — application hosting and edge network.
    • OpenAI — automated listing classification and match-score generation. Only listing text and your anonymised search criteria are sent; no account email, phone, or personally identifying profile fields are transmitted.
    • Apple Push Notification service — push notification delivery to your iOS device.
  • Legal: we may disclose information when required by law, in response to a lawful request from a government authority, or to protect the rights, property, or safety of Rentaura, our users, or others.

4. External rental sources (Safari handoff)

For listings aggregated from third-party rental sites such as Craigslist and Kijiji, the Rentaura iOS app does not contact the landlord on your behalf. Instead, when you tap “Contact Landlord,” the app opens the original listing page in an in-app Safari view (Apple’s SFSafariViewController), where you respond directly to the landlord through the source site under that site’s own terms and privacy practices.

When this happens:

  • Rentaura does not transmit your profile, application content, or any other personal information to the third-party site or to the landlord.
  • Any data you submit through the source site (your message, contact details, etc.) is collected by that site under its own privacy policy, which Rentaura does not control.
  • The third-party site may set its own cookies and collect technical data (IP address, browser fingerprint) inside the Safari view. Apple’s in-app Safari isolates this data from your main Safari browser session.
  • The only thing Rentaura records about the handoff is a confirmation that you chose to contact the landlord externally — recorded against the match in our database so the listing moves out of your “Saved” tab. We do not record the message you sent, the landlord’s reply, or whether either of you took any further action.

For listings posted directly on Rentaura by participating landlords (a growing share of our inventory), applications are submitted through the app and are governed by this Privacy Policy in full.

5. Data retention

We keep your information for as long as your account is active. When you delete your account, we delete or anonymise your profile, searches, matches, applications, and device tokens within thirty (30) days, except where we are required to retain certain records for legal compliance, fraud prevention, or to enforce our Terms of Service. Aggregated, non-identifying data may be retained indefinitely for analytics.

6. Your rights and choices

You may, at any time:

  • Access the information we hold about you by emailing us at privacy@rentaura.ai.
  • Correct your profile information directly inside the app at any time.
  • Delete your account from inside the iOS app, or by emailing us at privacy@rentaura.ai. Account deletion permanently removes your profile, searches, matches, applications, and device tokens within thirty days.
  • Export a copy of your data in a portable format by emailing us at the same address.
  • Opt out of email digests by following the unsubscribe link in any digest email. Opt out of push notifications via your iOS device’s notification settings for Rentaura.
  • Withdraw consent for any optional processing at any time. Withdrawing consent does not affect the lawfulness of processing already performed.

If you are located in the European Economic Area, the United Kingdom, or California, you have additional rights under the GDPR, UK GDPR, or CCPA respectively (including the right to lodge a complaint with a supervisory authority). We will honour requests under those laws in the same way we honour the rights described above. Rentaura is currently only marketed in Canada.

7. Security

We protect your information with industry-standard measures, including encrypted transport (HTTPS/TLS), encrypted storage at rest with our infrastructure providers, hashed passwords, scoped access tokens, and row-level access controls in our database. No system is perfectly secure; if we discover a breach affecting your personal information we will notify you and, where required, the relevant regulator within the timeline that law requires.

8. Children

Rentaura is not directed to children under 16, and we do not knowingly collect information from children under 16. If you believe a child has provided us with personal information, please contact us and we will delete it.

9. International transfers

We are based in Canada, and our service providers are located primarily in Canada and the United States. By using the Service you consent to your information being processed in those jurisdictions, where data protection laws may differ from those in your country of residence. Where required, we rely on standard contractual clauses or equivalent safeguards with our service providers.

10. Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the “Effective” date at the top of this page and, for changes that affect how we process your information, notify you in-app or by email at least 14 days before the changes take effect.
